Payroll Audit

Spring Cleaning Your Payroll Software

Spring cleaning isn’t just for closets and storage rooms; it’s also the perfect time to tidy up the systems that keep your business running. Payroll software is one of those tools that tends to operate quietly in the background, which makes it easy to overlook. Outdated settings, forgotten integrations and neglected automations can lead to compliance issues, inefficiencies and unnecessary costs.

A thoughtful annual review helps ensure your payroll system is accurate, secure and aligned with your current business needs. Here are the key areas employers should revisit as part of a payroll “spring cleaning.”

Conduct a Payroll Audit

A thorough payroll audit should start by verifying that every worker is properly classified. Misclassifying employees as independent contractors can trigger back taxes and penalties, so it’s important to confirm that job duties, reporting structures and contracts align with the correct category. From there, review pay rates, bonuses, commissions and overtime calculations to ensure accuracy across all locations where you operate. Different states and countries have their own overtime thresholds, so doublecheck that your payroll system is applying the right rules and that managers are approving overtime appropriately. Finally, audit each employee’s tax withholdings to make sure their setup reflects current forms and local tax requirements. This is especially important after periods of heavy hiring or regulatory change, and a quick annual review can prevent costly under or overwithholding issues.

Update Company & Employee Settings

As your business evolves, your payroll should continue to evolve with it. Start by reviewing your company profile, tax IDs and filing jurisdictions. If you’ve expanded into new states, changed entity types or updated banking information, your payroll system needs to reflect those changes to avoid filing errors or rejected deposits.

Employee records deserve the same attention. Confirm that addresses, tax withholding elections, pay rates, job titles and benefit deductions are current. If you’ve added new pay types, bonuses or reimbursement categories over the past year, make sure they’re set up correctly and consistently. Small discrepancies can snowball into compliance headaches if left unchecked.

Revisiting Integrations

Integrations with HR, time and attendance, and accounting systems are powerful when they work. When they don’t, they create duplicate work and data inconsistencies. Spring is a great time to verify that your payroll software is still syncing with your current integrations and look if new integrations are available. Some key items to review include:

  • Missing or duplicate employee profiles.
  • Timecard data that isn’t importing correctly.
  • Benefit or PTO balances that don’t match across systems.
  • General ledger mapping that no longer aligns with your chart of accounts.

If you have switched vendors recently or added new features over the past year, ensure those connections are configured properly. We partner with leading software providers to offer a customizable, single-entry workforce management solution that securely integrates with accounting, applicant tracking and more.

Evaluate Automations & Workflow Rules

Automation is meant to save time, but only if it is set up intentionally. Review your automated processes to ensure they still match your policies and workforce structure. Consider reviewing the following:

  • Scheduled payroll runs: Are the dates and frequencies still correct?
  • Automatic deductions: Are benefit premiums, garnishments and retirement contributions accurate?
  • PTO accrual rules: Do they reflect your current handbook?
  • Notifications and approvals: Are the right managers receiving alerts?

As your business grows and reorganizes, your workflow and automations may need to be updated to keep pace.

Review User Access & Security Controls

As employees join or leave your organization, access permissions can become outdated. Review who has access to payroll data, what level of access they have and whether it still makes sense.

Remove users who no longer need access, update permissions for employees who have changed roles and confirm that multifactor authentication is enabled. Payroll data is among the most sensitive information your business holds and protecting it should be a top priority.

Clean-up Reports & Templates

Over time, payroll systems accumulate old custom reports, templates and saved views. Cleaning these up can make your system easier to navigate and help your team find what they need faster. Take time to archive or delete the following:

  • Outdated report templates.
  • Old export formats.
  • Redundant saved searches.
  • Reports tied to discontinued departments or locations.

Once the cleanup is complete, take the opportunity to refine the reports you rely on.

Planning Ahead

A spring review isn’t just about fixing what’s outdated, it’s also an opportunity to uncover efficiencies that may be overlooked. As this year gets underway, look for opportunities to improve your systems and potentially consider switching to a provider that better meets your needs. As you work through your payroll settings, integrations and audit checks, take note of features you aren’t using that could streamline your workload or reduce manual entry. Look for processes that could be automated, approvals that could be simplified or reports that could be customized to give you better insight. A little proactive attention now sets the stage for a smoother, more compliant and more efficient year.
